Setting Your Availability
How to let the system know when you can and can't serve.
Setting your availability helps administrators create better schedules. You can mark dates when you're unavailable and set preferences for which events you'd most like to serve at.
Navigate to My Availability in the left sidebar under "My Volunteering."
Marking Unavailable Dates
If you know you'll be away — vacation, work travel, family commitments — add those dates so you won't be scheduled.
- Select a Start Date and End Date.
- Choose the Event Scope:
- All Events — you're unavailable for everything during this period.
- A Specific Event — you're only unavailable for one particular event but can serve at others.
- Optionally add a Reason (e.g., "Family vacation").
- Click Add.
Your unavailable periods appear in a list below. To remove one, click the trash icon next to it.
Setting Event Preferences
Below the unavailability section, you'll see a list of all events with preference buttons. For each event, choose one:
- Preferred (green) — "I'd love to serve at this event." You'll be prioritized for assignment.
- Available (blue) — "I can help if needed." You'll be considered normally.
- Unavailable (red) — "I can't serve at this event." You won't be assigned.
- No Preference (gray) — The default. Treated the same as Available.
Click an option to select it. Your preference saves automatically.
When to Update
- As soon as you know about upcoming conflicts — the earlier the better.
- Before a scheduling period — if your admin tells you they're about to generate a new schedule, make sure your availability is up to date.
- When plans change — you can update your availability at any time.
For Guardians
If you're a parent or guardian of dependents in the system, you can also manage their availability from the Family page.
