Members & Roles
Manage team membership, invitations, and role assignments for your organization.
The Members page lets you manage who has access to your organization and what they can do. It's found under Settings > Members in the sidebar.
Who Can Access This
- Owners and Administrators can invite members, change roles, and remove members.
- Ministry Leads can view the members list.
Roles
Ministry Steward has four roles, listed from most to least access:
Owner
The organization creator. Has full access to everything including billing and the ability to transfer ownership. There is always at least one owner.
Administrator
Full access to all features and settings, including:
- Managing ministries, volunteers, events, and schedules.
- Running the scheduler and publishing rosters.
- Creating announcements and viewing reports.
- Inviting and managing team members.
Ministry Lead
A focused role for people who oversee specific service areas. Ministry Leads can:
- View and manage volunteers in their assigned ministries.
- View the calendar and schedules.
- Access their own volunteering features (availability, my events, family).
Ministry Leads are assigned to specific ministries from the Ministries page.
Member
The standard volunteer role. Members can:
- View the calendar to see event schedules.
- View their own assignments on the My Events page.
- Set their availability and event preferences.
- Manage their family/dependents.
- View their family group.
Inviting Members
- Click the Invite Members button.
- Enter the person's email address.
- Select a role (you can only assign roles at or below your own level).
- Click Send Invitation.
The person receives an email with an invitation link. Once they accept and create their account, they automatically appear in the Volunteers list.
Pending Invitations
The Pending Invitations section shows invitations that have been sent but not yet accepted. For each invitation you can:
- Resend — send the invitation email again.
- Revoke — cancel the invitation.
Changing Roles
Click the role dropdown next to any member to change their role. Restrictions:
- You cannot promote someone above your own role level.
- You cannot demote the primary owner.
- There must always be at least one owner.
Removing Members
Click the remove button next to a member to remove them from the organization. This revokes their access but preserves their historical scheduling data.
