Managing Your Family

How to manage schedules and availability for your dependents.

If you're a parent or guardian with dependents in Ministry Steward, the Family page lets you manage their schedules and availability.

Navigate to Family in the left sidebar under "My Volunteering."

Your Family Dashboard

The Family page shows a card for each dependent you manage. Each card includes:

  • Name and Relationship — your dependent's name and their relationship to you.
  • Status — whether they're active (can be scheduled) or inactive.
  • Ministry Qualifications — which ministries they're qualified to serve in.
  • Upcoming Assignments — their next 3 scheduled events.

Managing a Dependent's Availability

Click Manage Availability on a dependent's card to open their availability page. From here you can:

  • Add unavailable dates — mark periods when your dependent can't serve.
  • Set event preferences — indicate which events they prefer or should avoid.

This works the same as setting your own availability, but applies to your dependent's schedule.

Only linked guardians, organization owners, and administrators can manage a dependent's availability and event preferences. Ministry Leads and other team members cannot manage these settings for a dependent.

Viewing Their Schedule

Click View Schedule & Details to see your dependent's full schedule and the profile information available to you as their guardian, including all upcoming assignments. Private administrative notes are not included.

One linked guardian is marked as the Primary notification guardian. When a dependent does not have a separate Notification Email, email reminders go to the primary guardian's account email. A Notification Email on the managed account takes priority. Ask an owner or administrator if the primary guardian needs to change.

Signing Up or Withdrawing

Open an event from the calendar to sign up a managed account. Choose the dependent and an available ministry position, then confirm the signup. Only positions the dependent is qualified for are shown. Signups are unavailable when the event is full, closed, or has already started.

To withdraw a dependent, open the scheduled event, click Withdraw, and confirm the change. The assignment is removed and the ministry position becomes available again. An event that has already started can no longer be changed.

Tips

  • Keep your dependents' availability up to date alongside your own.
  • If your dependent is no longer serving, ask an administrator to set them as inactive rather than deleting their account — this preserves their scheduling history.
