Family
Manage dependent volunteers and their schedules as a guardian.
The Family page lets you see your own family group. Guardians can also manage volunteer accounts for their dependents — typically children or family members who don't have their own login.
Who Can Access This
- Team members assigned to a family group can view their own family group.
- Team members who are designated as guardians of managed accounts can manage those dependents.
Dependent detail and availability pages are only available to that dependent's guardians. Owners and administrators can still manage dependent volunteer records from the Volunteers area.
Ministry Leads cannot manage a dependent's availability or event preferences, even when the dependent is qualified for a ministry they lead.
What You'll See
If you belong to a family group, the page shows a family group card with the group name and members.
Guardians also see a card-based dashboard of managed accounts. Each card displays:
- Name and Relationship — the dependent's name and their relationship to you (e.g., Child, Son, Daughter).
- Status — whether the dependent is active or inactive.
- Ministry Qualifications — badges showing which ministries the dependent is qualified for.
- Upcoming Assignments — the next 3 scheduled events, with a link to see more.
Managing a Dependent
Each dependent card has two action buttons:
Manage Availability
Opens the availability page for this dependent, where you can:
- Add unavailable dates (just like your own availability).
- Set event preferences on their behalf.
This works the same as the Availability feature, but applies to the dependent's schedule.
Owners and administrators can also manage dependent availability from the Volunteers area. Other team members cannot see or change it.
View Schedule & Details
Opens a detailed view showing the dependent's schedule and the profile information available to you as their guardian. Administrative notes are never shown in the Family area.
From an open event, a guardian can sign up a qualified dependent for an available ministry position. The app shows when signups are closed or a position is full. A guardian can also withdraw the dependent before the event starts. Past events cannot be changed.
If more than one guardian is linked, each guardian can open the same managed account from their own Family page.
One guardian is marked as the Primary notification guardian. If a managed account does not have its own Notification Email, email reminders go to that primary guardian's account email. Ask an owner or administrator to change which guardian is primary. A Notification Email on the managed account always takes priority.
How Family Connects to Other Features
- Volunteers — dependents are created as managed accounts on the Volunteers page with a guardian link.
- Availability — guardians manage dependent availability through the Family page.
- Scheduler — dependents are scheduled just like any other volunteer based on their qualifications and availability.
- Groupings — family members are automatically grouped together.
