Ministries

Define service areas in your organization and manage which volunteers are qualified to serve in each.

Ministries represent the service areas in your organization — things like Worship Team, Ushers, Greeters, or Children's Ministry. They are the building blocks for event staffing and volunteer scheduling.

Who Can Access This

  • Owners and Administrators can create, edit, and delete ministries.
  • Ministry Leads can view ministries they're assigned to lead, add or remove volunteers from those ministries, and manage assignments for those ministries from the schedule.

What You'll See

The Ministries page shows a table listing all ministries in your organization. Each row displays:

  • Ministry Name — the name of the service area.
  • Description — an optional summary of what the ministry does.
  • Volunteer Count — how many volunteers are qualified for this ministry.

Creating a Ministry

  1. Click the Add Ministry button.
  2. Fill in the form:
    • Name (required) — e.g., "Worship Team" or "Parking Lot Greeters."
    • Description (optional) — a brief summary.
    • Allow Overflow Assignment — enable this to allow scheduling more volunteers than the computed need. Useful for ministries where extra help is always welcome.
    • Ministry Positions (Premium) — add the roles this ministry uses, such as "Cross," "Candle," "First Reading," or "Second Reading." Positions are saved alphabetically.
  3. Click Create Ministry.

Managing a Ministry

From the ministries table, each ministry has action icons:

Manage Volunteers

Click the people icon to open the volunteer management dialog. Owners and administrators can add or remove which volunteers are qualified for this ministry. Ministry Leads can add or remove volunteers for ministries they lead. Only qualified volunteers can be scheduled for events that require this ministry.

Designate a Ministry Lead

Click the shield icon to assign a Ministry Lead. A Ministry Lead can oversee scheduling and adjust event assignments for their assigned ministry. They have limited access scoped to that ministry.

Edit Ministry

Click the pencil icon to update the name, description, overflow setting, or ministry positions.

Ministry Positions

Ministry positions let you name the specific role a volunteer has inside a ministry assignment. For example, an Altar Servers ministry might use Cross and Candle, while a Readers ministry might use First Reading, Second Reading, and Psalm.

Owners and administrators can edit the position list on Premium plans. Event setup then lets you choose how many volunteers are needed for each position. If no event-specific counts are set, the scheduler can still use the ministry's position list as a fallback. Ministry Leads can use those positions when assigning volunteers for their own ministries. If your account is not on a Premium plan, the ministry form shows an upgrade prompt instead of the position editor. If an account moves off a Premium plan, existing positions remain visible, but new position changes and new position assignments are disabled.

Delete Ministry

Click the trash icon to permanently remove the ministry. This will also remove all volunteer qualifications and event requirements associated with it.

How Ministries Connect to Other Features

  • Events — each event defines ministry requirements specifying how many volunteers from each ministry and position are needed.
  • Scheduler — the scheduler assigns qualified volunteers to events based on ministry requirements and can optionally add positions.
  • Volunteers — each volunteer has a set of ministry qualifications that determines which events they can be scheduled for.
  • Announcements — announcements can be targeted to specific ministries.
