Choosing a ministry scheduler starts with the work your parish needs to coordinate: which volunteers can serve, how families fit together, what happens when someone cannot attend, and who will prepare the next roster.
Ministry Steward and Ministry Scheduler Pro both support recurring ministry scheduling. Their pricing structures, setup processes and volunteer tools differ. This guide explains those differences so you can evaluate them against your own Masses and ministries.
We publish Ministry Steward, so this is a comparison from one of the providers. MSP information comes from its published pricing and documentation, checked October 30, 2026. The links below let you check the details directly.
Compare pricing at your volunteer count
MSP currently offers Online and Plus editions, with prices that increase by volunteer tier. Ministry Steward offers Base and Premium, both with unlimited volunteers.
| Volunteers in the example | MSP capacity tier | MSP Online monthly equivalent | MSP Plus monthly equivalent | Ministry Steward Base monthly | Ministry Steward Premium monthly |
|---|---|---|---|---|---|
| 50 | Up to 100 | $50 | $65 | $40 | $60 |
| 150 | Up to 200 | $65 | $85 | $40 | $60 |
| 300 | Up to 300 | $80 | $105 | $40 | $60 |
Prices are in US dollars, before tax and without SMS or optional extras. MSP figures were checked using the volunteer selector on its current pricing page. These are subscription-rate examples, not feature-equivalent bundles. Ministry Steward Base covers one workspace; Premium covers up to three separate church or campus workspaces.
In these examples, Ministry Steward Base has a lower subscription rate than MSP Online, and Premium has a lower rate than MSP Plus. The plans differ in features, so compare the workflow your coordinator needs alongside those rates. Ministry Steward's subscription price stays the same as its volunteer list grows.
Understand the billing period
MSP starts with a six-month purchase and then renews annually. Its monthly figures describe the rate, rather than a month-to-month purchase. MSP provides a six-month refund guarantee for the initial purchase. See its billing explanation and purchase terms.
Ministry Steward offers monthly billing or annual billing. Its public annual prices are $400 for Base and $600 for Premium. Paying monthly for twelve months totals $480 or $720, respectively. Review the current Ministry Steward plans before starting a subscription.
The annual amounts below distinguish a renewal commitment from a monthly rate:
| Example | MSP Online initial six-month purchase / subsequent annual renewal | MSP Plus initial six-month purchase / subsequent annual renewal |
|---|---|---|
| 50 volunteers | $300 / $600 | $390 / $780 |
| 150 volunteers | $390 / $780 | $510 / $1,020 |
| 300 volunteers | $480 / $960 | $630 / $1,260 |
These amounts are calculated from the rates above, assuming the same edition and capacity tier. They exclude SMS and optional extras. They describe the respective purchase periods, not the amount paid during the first twelve calendar months.
Include SMS in the comparison
MSP charges $0.02 for each SMS sent or received. For example, 250 chargeable messages add $5, and 1,000 add $20. See the SMS pricing FAQ.
Ministry Steward includes an allowance of 250 monthly SMS units on Base or 1,000 on Premium, shared across the organization's workspaces. Longer announcement texts can use multiple units. Consent, notification settings and the remaining allowance affect delivery. The current app blocks sends that exceed the allowance; this is not unlimited texting or an automatic paid-overage service.
For a simple example of 250 short, one-unit outbound texts and no incoming texts, MSP adds $5 to its subscription charge. Those sends fit within either Ministry Steward plan's allowance, provided it has not already been used by other messages. A 1,000-unit month fits Premium's allowance and exceeds Base's.
Compare the workflows you will use
| Need | Ministry Steward | Ministry Scheduler Pro |
|---|---|---|
| Generate and review recurring rosters | Both plans; availability, qualifications and review before publication | Both editions; automated scheduling with detailed rules and editing tools |
| Family arrangements | Family coordination within a linked Event Group occurrence; managed accounts and linked guardians | Family scheduling controls, including together/apart preferences |
| Specific roles within a ministry | Premium lets you create and name roles and set event position counts | Subdivisions and titles distinguish ministry tasks or qualifications |
| Delegate to ministry leaders | Ministry Lead access on both plans, scoped to assigned ministries | Plus includes scoped Leader access |
| Attendance and check-in | Attendance and browser kiosk tools on both active plans | Attendance tools; sign-in kiosk in Plus |
MSP's scheduling feature details, setup guide and edition comparison describe its side of this table. Ministry Steward's scheduling walkthrough shows its generate, review and publish process.
MSP can qualify volunteers for individual ministry subdivisions. Ministry Steward qualifications apply at ministry level; its position labels describe the role within an assignment. Check this distinction if different tasks require different training. The MSP setup guide explains subdivision qualifications.
Both products require accurate setup and coordinator review. A generated roster does not guarantee that enough qualified volunteers are available.
Starting from Excel or Google Sheets
MSP supports importing a volunteer spreadsheet, including mapping its columns and adding or updating profiles. Its Web Admin import instructions explain the process. Importing volunteer profiles does not mean an entire historical schedule transfers unchanged.
Ministry Steward currently uses manual setup: create ministries and events, invite volunteers and add managed accounts where appropriate. It does not import spreadsheet or CSV files. The spreadsheet transition guide explains how to prepare the information and agree a switchover date.
If importing a large existing list is important, include that work in your evaluation. Neither a subscription price nor a feature checklist tells you how much preparation your particular data needs.
Mobile access and changes after publication
MSP offers a native volunteer app, personal-calendar integration and tools for requesting substitutes and optionally trading assignments. Those can matter when volunteers need to arrange coverage themselves. See MSP's volunteer features.
Ministry Steward volunteers use the website on a phone or computer. They can view published assignments, update availability, withdraw and sign up for eligible open places. A withdrawal does not arrange a replacement, and adding unavailable dates does not cancel an existing assignment. Ministry Steward does not currently offer a native volunteer app, personal-calendar integration or direct volunteer-to-volunteer trades.
Ask someone who actually serves at your parish to try the relevant workflow. Checking a published assignment, reporting an absence and finding a replacement are different tasks.
Scheduling across church locations
MSP states that parish families can share one subscription and coordinate volunteers across locations. Confirm the applicable capacity tier and licensing arrangements for your parish family. Its multi-location explanation describes shared scheduling and conflict checks across sites.
Ministry Steward Premium supports up to three separate church or campus workspaces under one subscription. Each workspace has its own schedule and volunteer records; the SMS allowance is shared. It does not provide one combined roster or automatic conflict checking between those workspaces.
The choice is whether your locations need separate administration or coordinated scheduling of a shared volunteer team. Three separate workspaces and a combined multi-site schedule serve different needs.
When MSP may be the better fit
Consider MSP when you need the mobile and substitution workflow described above, spreadsheet import, or coordinated scheduling across a parish family. Plus also offers configurable volunteer fields, scheduled communications and API access. See its Plus edition details.
For Catholic ministries, MSP documents automatic links to USCCB readings and audio guides. Ministry Steward does not currently provide that feature. See MSP's explanation of its church-specific features.
Ministry Steward supports targeted announcements and fixed volunteer information, but it does not currently provide MSP-style custom volunteer fields, scheduled announcement campaigns or the public integration API described above. Custom ministry roles in Premium are not custom volunteer fields.
When Ministry Steward is worth evaluating
Ministry Steward is worth a look if your priorities are unlimited volunteers, an included SMS allowance, monthly billing and a browser workflow for collecting availability, reviewing rosters and publishing assignments. Premium adds custom ministry roles, workspace colors, priority support, administrator onboarding assistance and the separate workspace capacity described above.
MSP also includes administrator support with its subscriptions. Support availability is not exclusive to Ministry Steward; compare what help your team needs during setup and coordinator handover. See MSP's support and subscription information.
Test both with one real service
Use the same Sunday Mass, ministry requirements and volunteer constraints in each evaluation. Try generating the roster, resolving one open place, checking a family arrangement and handling someone who cannot serve. Have a second coordinator find the schedule and identify the next action.
Both products offer a 30-day trial. MSP advertises no credit card requirement but describes trial limits, including restrictions on testing parts of the volunteer experience and limited access to Plus features. Read MSP's trial details. For Ministry Steward, create the church account and choose a plan to activate the trial; review the current trial and renewal terms.
If you would like to walk through Ministry Steward using your own service requirements, request a scheduling demo. If you are ready to evaluate it, create your church account and choose a trial plan.
